Managing the Human Resources (HR) process is getting more complicated. Just consider what you and your HR department have to deal with when it comes to privacy and compliance issues. New Employee Processing

From Job Requisition form and approval routing to job posting to hiring to employee reviews...and more!

There is a Position Requisition Form is used to request creation of a position. This form, when approved contains a tracking process for new hires.

The Job Posting function allows internal posting of job vacancies on your SendTrac Administration System portal. Anyone who has access and is interested in applying for a posted position can respond through an online form that is routed to the HR department and/or hiring manager.

The New Employee Hiring Form is used to record information about the internal or prospective candidate selected for a position. This form is routed for managerial approval, and when approved, to the HR department.

When the HR Department enters the employee start date into the system, the system creates an Employee Provisioning Form and routes it to the IT and Office Management Staffs (and/or other designated staff) who then can arrange for systems access, telephone services, and additional goods and services needed to be ready on the employee’s start date.

Employee Status Change

SendTrac already contains forms that can be customized and used for change in employee status (promotion, lateral move, leave, transfers/relocations, etc.) and for employee termination. It is routed to the appropriate staff and then to the HR department for processing.

The Employee Termination Form is used to alert the HR department when a staff member is leaving the organization. The system simultaneously alerts the payroll staff and the IT staff through e-mail. If the staff member had previously been assigned organization property as contained in the inventory sub-system (e.g. lap-top, pager, cell phone, PDA, etc.), the system will notify the employee’s supervisor as well as the custodian of the items via e-mail of the termination. There is even an Exit Interview Form.

Other HR Forms

Request for Temporary Staff Form can be used when there is a request for temporary staff. This form can be submitted by the requesting manager and forward for approval, and after approval, to the HR staff.

Request for Leave Form can be used by staff requesting long term or special leave.

HR Communications With Staff

Communication is key but it can be time-consuming. You develop the content and SendTrac will automate dissemination of your information.

There is also a Manual Publishing Function to allow you to publish employee handbooks, operation manuals, HR manuals, etc. And, there is a newsletter publishing function to allow an organization to publish newsletters to staff.

We’ve even included Volunteer Staff Tracking Function that allows organizations to enter relevant information about volunteers assigned to the organization and their assignments. It can also be customized to manage your Interns.
